When you’re given the opportunity to meet or communicate with someone, you should always demonstrate your appreciation with a note of thanks. The method you use, however, may differ depending on the situation. Here are some rules of thumb to keep in mind as you’re considering how to express your gratitude:
General Rules:
• Be sure to check spelling and grammar
• When in doubt, send a handwritten note
• The more expensive the entertainment, the more the need for a handwritten note
Handwritten Notes:
• If you’re thanking someone for a first time meeting – especially a lunch or dinner – a handwritten note is always a good bet (unless your correspondence has been primarily via email).
• Make sure your handwriting is legible. If it’s not, a printed note on a nice card or stationary is fine.
• If you attended an event that was purely social but was hosted by someone with whom you have a professional relationship, address the note to your host and send it to his or her home. These notes should be handwritten on personal cards or stationary.
Emailed Notes:
• It’s okay to send an email thank you if you go out to lunch with someone who you’ve had a long-term business relationship with and he or she picks up the tab (unless he or she is a stickler for tradition).
• When time is of the essence, use an emailed thank-you note as a prelude to a handwritten one. Send the email as quickly as possible and the note in a day or two.
• As a lunch guest of a host with whom you speak often, you can either express your thanks again the next time you talk or send an email
