Deadline Approaching – President’s Award of Excellence Nominations

It is with great pleasure that we announce the 2020 President’s Award of Excellence to recognize staff members who continually go above and beyond for the betterment of Lawrence.

The President’s Award of Excellence (PAE) recognizes exemplary University staff members for their exceptional support and performance for their Department and the University. The President and the PAE Review Committee will select up to 2 individuals annually for this award. 

Criteria:

The PAE Review Committee will carefully consider all nominations, taking into consideration the following criteria:

  • Innovation and Enhancement: Drives innovation, initiative and leadership in the workplace through creative ideas which positively impact the University and/or the surrounding community.
  • Support of Individuals: Demonstrates above and beyond commitment to provide timely service and support to the students, staff or faculty.
  • Stewardship of Campus Facilities & Resources: Demonstrates a high level of care and responsible management for the well-being of the University and its resources for the benefit of our students, staff, and faculty.
  • Teamwork and Collaboration: Cultivates trust, respect, and actively includes different perspectives while working in partnership with others to create an environment of comradery and collaboration. 
  • Fosters a Diverse & Welcoming Community: Individual is committed to fostering a community that embraces all members and provides equal access, opportunity, and outcome to cultivate inclusion and dialogue across differences. 

Nominee Criteria:

  • Nominees must be an active, regular full or part-time staff member with a minimum of one year of service (Senior Administrators (Cabinet), faculty, student workers/students and staff with less than one year of service, casual, temporary, leased/contracted employees are not eligible for nomination.)
  • Exhibits consistent demonstration of the criteria listed above
  • Demonstrates and maintains consistent job performance that exceeds expectations while displaying high levels of commitment, stewardship and respect

On behalf of Mark and the PAE Review Committee, we strongly encourage you to nominate a deserving colleague for the 2018 President’s Award of Excellence.  You may nominate a staff member from your own department or another department.

Nominations will be accepted now through Friday, January 15, 2021. Nomination forms are available on the President’s Award of Excellence page describing how the employee encompasses the above mentioned criteria. A persuasive nomination will consist of heartfelt examples that illustrate the merit of the candidate, along with real-life anecdotes. The nomination form can be submitted by one of the following methods:

CERTIFY – Now Live! January 1, 2021

Happy New Year! 

Financial Services is excited to welcome 2021 with a new paperless credit card expense report process for employees who are Lawrence purchasing card holders AND a new paperless cash expense report process for employees who request a mileage or other cash reimbursement.  Both of these new processes will now be handled through a program called CERTIFY!

If you have been using your Lawrence credit card in 2021 you probably have already seen emails from CERTIFY landing in your inbox letting you know you have transactions in your CERTIFY WALLET! This means your CERTIFY account is linked to your Lawrence credit card and already functioning for you!

All employees should have received a Pre-Welcome Email on December 10 from Mary Alma Noonan, VP for Finance and Administration, and an Official Welcome Email from CERTIFY (accounts@certify.com) on December 16, 2020.  Please check your junk/spam folder if you did not receive either of these emails and if you do not find either of them in your junk/spam folder, please reach out to Amy Price (amy.price@lawrence.edu) for the email(s) to be resent. 

Please click on the link in the Welcome Email from December 16 which will use your Lawrence credentials to log you into the website.  Once you are logged in, please bookmark the link for future use.  Also, if you have not done so already, please follow the steps to set up your account.

PLEASE NOTE: For those staff and faculty who are used to having administrative help with their credit card and expense reports, don’t panick. CERTIFY allows for others to act as DELEGATES for you so a level of assistance can still be provided to those who need the extra help. On Friday, January 15, those administrative staff will be attending a CERTIFY Power User orientation session with the Financial Services group to assist them with this DELEGATE feature.

The Lawrence CERTIFY guide with tips you will need to get started on your own will be sent by mid January to assist with the first reporting period of January 1-15, 2021. 

NOTE:  We encourage all credit card holders to get all of your outstanding 2020 expenses submitted by January 15, 2021 prior to using CERTIFY for the first time.

Important Holiday Payroll Deadlines

We want to provide information for completion of timesheets for the pay period of December 20, 2020 – January 2, 2021.  Please review the key dates noted below:

  • Sunday, December 20, 2020 – Timesheets will be available in Voyager
  • Monday, January 4, 2021 by 9:30 am – Deadline for employees submit timesheets to their supervisor for approval.
  • Monday, January 4, 2021 by noon – Deadline for supervisors to approve all timesheets.

Additionally, below are helpful reminders when completing your timesheet:

  • If you are a salaried staff employee you will not need to complete a timesheet as all time during this period is paid.
  • If you are an hourly, benefits eligible employee, please log your time as follows:
    • December 20, 2020 – Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 21, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 22, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 23, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 24, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 25, 2020 – Holiday Pay hours in the amount of your regularly scheduled shift. Any hours that you worked on this day should be logged as ‘Holiday Worked’ on top of your Holiday Pay.
    • December 26, 2020 – Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 27, 2020 – Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 28, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 29, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 30, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • December 31, 2020 – Add’l Paid Time Off hours in the amount of your regularly scheduled shift. Any hours that you worked on this day would be logged as ‘Regular’ time.
    • January 1, 2021 – Holiday Pay hours in the amount of your regularly scheduled shift. Any hours that you worked on this day should be logged as ‘Holiday Worked’ on top of your Holiday Pay.
    • January 2, 2021 – Any hours that you worked on this day would be logged as ‘Regular’ time.
  • Employees working over the winter break should discuss this with supervisors prior to break, unless an urgent situation arises and a planned, prior discussion is not feasible.
  • If you work on an Add’l Paid Time Off days you can choose to take that day off at some point in the future. The deadline to use these days in the future is February 28, 2021.
  • If you work on an Add’l Paid Time Off day, please enter a brief comment indicating that you worked over break to accommodate the needs of campus.

2021 Open Enrollment Deadline

The deadline to submit any open enrollment changes, additions, or drops to Human Resources is Monday, November 16, 2020 at 4:00 pm. 

If you do not want to make changes to your current benefit elections, you do not need to submit open enrollment forms, with the exception of flexible spending. The flexible spending enrollment form must be completed if you want to participate in health care and/or dependent care flexible spending in the 2021 plan year/calendar year.

Adjustment to Staff Performance Evaluations

For the last eight months, the coronavirus pandemic has created challenges to the way we work and altered many of our duties and responsibilities. Your willingness to take on sometimes unfamiliar tasks and to put in untold extra effort has enabled Lawrence to adapt to the crisis and continue educating our students.  At the same time, many of the expectations and goals we set during last fall/winter’s performance evaluation period are no longer priorities as we complete our work at this time. 

Because it would be difficult to assess progress against those benchmarks and to relieve some of the current administrative burden, it has been decided to make participation in the formal University performance evaluation process optional for this year. If an office or department would like to move forward with conducting performance evaluations, they are encouraged to do so and should not feel compelled to meet regular deadlines if additional time for completion is needed. Feedback compiled through the supervisor evaluation web form will not be collected this year.

If an office or department decides to forgo the formal performance evaluation, supervisors are encouraged to conduct feedback conversations with their employees. Providing constructive feedback is vital to employees’ ongoing development. It can open up a dialogue, communicate and clarify expectations, and play a crucial role in promoting professional growth. Supervisors are especially encouraged to meet with new employees or those that would most benefit from this 1:1 time. These conversations can be documented and utilized for reference in future year’s performance discussions.    

If needed, the Performance Evaluation webpage provides the documents to complete the annual performance evaluation. This webpage also provides helpful information on providing ongoing feedback, introducing change, setting annual objectives and goals, and more. Please do not hesitate to contact your Human Resources representative with any questions you may have or if any support is needed.
